Responsibility of Sellers Policy
The conduct, listing, inventory, fulfillment, buyer-information, and enforcement rules for Qloset Sellers.

1. Purpose and scope
This Responsibility of Sellers Policy explains what Qloset requires from every person or business that lists, supplies, or fulfills products through Qloset (each a “Seller”). It applies to Seller accounts, storefronts, listings, uploaded content, inventory, orders, shipments, and use of information received through Qloset.
Qloset is responsible for the customer facing experience, checkout, support experience, refunds, and chargebacks. Sellers remain responsible for the products they supply, the accuracy of their listings, the accuracy of their inventory, and the timely and correct fulfillment of customer orders.
This policy is incorporated into the Qloset Vendor Agreement, Version 1.0. It is part of Qloset Seller Policy Set 1.0 together with the Intellectual Property Policy, Privacy Policy, and Returns & Refunds Policy. The Vendor Agreement remains the source for commission, settlement, tax, indemnity, governing-law, and other contract terms.
2. Seller identity and account information
Sellers must:
- Be able to properly sell and fulfill orders through Qloset.
- Promptly update and relay information as it becomes available.
- Protect account credentials and limit account access to authorized individuals within an operation.
- Notify Qloset promptly of suspected unauthorized access, fraud, or misuse.
Qloset may verify Seller information, require periodic certification that information accuracy is retained, and disclose Seller information to buyers or authorities when required. A Seller that does not complete required verification may not list products, accept orders, or receive payment allocation.
3. Products Sellers may offer
A Seller may list only products that the Seller has the practical ability to supply and fulfill.
Sellers must not supply:
- Unauthorized or deceptively branded products.
- Stolen products or products obtained through fraud.
- Recalled, unsafe, defective, prohibited, or products imported in an unlawful manner.
- Products that infringe a copyright, trademark, patent, right of publicity, or other third-party right.
- Products whose sale, possession, shipment, or import would violate applicable law.
Calling a product a “replica,” “inspired by,” or similar term does not make an unauthorized product acceptable. Sellers must monitor applicable recall and safety notices. If a listed or sold product becomes subject to a recall, safety warning, authenticity concern, or legal restriction, the Seller may be asked to stop offering it and notify Qloset at support@qloset.dev.
4. Authenticity and intellectual-property rights
Sellers are responsible for providing the source of their products if asked. On request, a Seller must provide invoices, authorization letters, licenses, supply-chain records, or other reasonable evidence of authenticity and the right to sell.
All listing content—including brand names, logos, product names, photographs, videos, descriptions, and other materials—must be created by the Seller or used with permission. Sellers must not copy another seller’s listing, use misleading keywords, conceal a product’s actual source, or imply a brand relationship that does not exist.
Qloset may remove or restrict content while reviewing an infringement report. Sellers must cooperate promptly with authenticity and infringement investigations. Repeated infringement, knowingly listing infringing products, submitting false ownership information, or attempting to evade a prior removal may result in account termination.
This section does not replace Qloset’s separate notice-and-takedown procedure, which must provide a route for rights owners to submit infringement reports and for affected Sellers to request review where applicable.
5. Accurate listings
Every listing must give buyers a truthful, current, and understandable description of the product they will receive. Sellers must accurately provide all information that applies, including:
- Product and brand name.
- Whether the product is new or pre-owned.
- Condition, wear, alterations, defects, missing parts, and material flaws.
- Size, measurements, color, materials, and included accessories.
- Actual product images where Qloset requires them, especially for pre-owned or individually distinct products.
- Price, available variants, stock quantity, and fulfillment origin.
- Safety warnings, restrictions, care information, and legally required labels or disclosures.
Images must fairly represent the listed product. Sellers must not materially alter images to hide damage, exaggerate quality, misrepresent color or condition, or show an item the Seller cannot supply. Search terms, categories, and attributes must be relevant and must not be used to manipulate discovery.
Sellers must correct or archive an inaccurate listing promptly. Qloset may correct, hide, archive, or remove a listing when needed to protect buyers or keep the catalog accurate.
6. Inventory and availability
Sellers must keep inventory accurate and must not offer units they cannot supply. A Seller must promptly update or archive a listing when a product or variant becomes unavailable.
After Qloset confirms a paid order, the Seller must reserve the ordered unit for that order and must not sell or allocate it elsewhere. If the Seller discovers an inventory error or cannot fulfill an order, the Seller must tell Qloset immediately. The Seller must not substitute another product, size, color, condition, or variant without Qloset’s expressed approval.
7. Orders, shipping, and fulfillment
Qloset uses Vendor-Direct Fulfillment. Qloset does not at any point hold inventory of the product being sold. Each Qloset order item ships directly to the delivery address provided for that order, while Qloset coordinates the customer-facing order journey.
For every order, the Seller must:
- Review the order promptly and notify Qloset immediately of any problem.
- Ship the exact product, size, variant, quantity, and condition purchased.
- Package the product safely, securely, and in compliance with applicable carrier and legal requirements.
- Mark an item fulfilled only after it has actually been transferred to the carrier.
- Provide truthful tracking information that corresponds to the buyer’s shipment.
- Keep reasonable fulfillment and shipment records and provide them to Qloset on request.
- Cooperate with delivery investigations, carrier claims, recalls, and order-issue reviews.
Sellers must not enter false tracking, mark an unshipped item as fulfilled, reuse tracking from another shipment, or ship directly outside Qloset’s recorded order process. A Seller that cannot meet a shipping promise must notify Qloset promptly so Qloset can determine the legally and operationally appropriate customer remedy.
8. Order problems, refunds, and chargebacks
Qloset purchases are final sale for fit, size, color, preference, or change of mind. Sellers remain responsible for fulfillment and listing problems, including when an order is not delivered, arrives damaged, contains the wrong product, or materially differs from its listing.
Sellers must respond promptly to Qloset’s requests for records, evidence, or a proposed resolution. Sellers must not instruct a buyer to return an item, promise a refund, replace an item, or settle an order issue beyond the platform.
Qloset decides and communicates customer-facing remedies. When a refund, replacement, chargeback, shipping adjustment, or other loss results from a Seller’s breach, inaccurate listing, inventory failure, unlawful product, or fulfillment failure, Qloset may hold, offset, or recover the reasonably related amount as permitted by the Vendor Agreement.
9. Buyer information and communications
Buyer information provided through Qloset may be used only to fulfill and support the applicable Qloset order or to comply with law. Sellers must:
- Limit access to people who need the information for fulfillment.
- Protect it against unauthorized access, use, disclosure, loss, or alteration.
- Not use it for advertising, profiling, unrelated analytics, or building an independent customer list.
- Not sell, share, or disclose it except to a carrier or service provider that needs it to fulfill the order and is required to protect it.
- Not contact a buyer outside Qloset’s approved support or fulfillment process unless Qloset authorizes the contact.
Sellers must notify Qloset immediately of any suspected loss, unauthorized access, or disclosure of buyer information.
10. Fair marketplace conduct
Sellers must act honestly and must not interfere with the marketplace or customer experience. Prohibited conduct includes:
- Directing Qloset users to complete a discovered transaction off-platform.
- Including solicitations in a shipment that encourage future off-platform purchases.
- Manipulating search, recommendations, analytics, inventory, or account eligibility.
- Misusing another person’s identity, storefront, brand, or account.
- Retaliating against a buyer, rights owner, reporter, or other participant for raising a good-faith concern.
Sellers are independent businesses and may sell through other channels. This policy restricts misuse of Qloset users, information, orders, and systems; it does not claim ownership of a Seller’s customers acquired independently of Qloset.
11. Legal and regulatory compliance
Sellers must comply with laws and regulations that apply to their products and conduct, including consumer protection, product safety, labeling, advertising, intellectual property, privacy, tax, customs, sanctions, import, and export requirements.
Sellers are responsible for obtaining required licenses, permissions, certifications, and registrations and for maintaining supporting records. Sellers must provide information Qloset reasonably needs to meet marketplace-verification, tax, safety, recall, reporting, or law-enforcement obligations.
Where Qloset collects or remits marketplace sales tax or performs legally required reporting, that does not eliminate the Seller’s responsibility for its own income, business, licensing, registration, and other tax obligations.
12. Reviews, enforcement, and appeals
Qloset may investigate suspected violations and may request information from a Seller, rights owner, carrier, payment provider, buyer, or relevant authority. Depending on the nature, severity, and history of a concern, Qloset may:
- Correct, restrict, archive, or remove a listing or uploaded material.
- Prevent a product or Seller from accepting new orders.
- Cancel an unfulfillable order and coordinate the customer remedy.
- Delay settlement of amounts reasonably connected to an open order issue, fraud review, infringement claim, refund, chargeback, or legal requirement.
- Require corrective action or additional verification.
- Suspend or terminate Seller access.
Qloset may act immediately when reasonably necessary to protect buyers, rights owners, the public, or the marketplace. When appropriate, Qloset will tell the Seller the reason for an action and what information may be submitted for review. A Seller may request review by contacting support@qloset.dev. Requesting review does not automatically pause a protective action.
13. Changes and contact
Qloset may update this policy under the notice and acceptance process stated in the Vendor Agreement. The policy version, Seller Policy Set, and effective date above identify the text that applies.
